The Human Resources Receptionist (HRREC) is responsible for assisting in the day-to-day operation of the Business Office and Human Resources Department. Areas of responsibility as assigned may include (but are not limited to): 1) serving as the Business Office receptionist by assisting applicants, visitors and staff within the business office; 2) receiving phone calls, taking and dispatching messages; 3) performing administrative duties such as filing, creating packets, making labels; and 4) other duties as assigned.
HOURS:
Monday- Friday, 8:00 to 5:15pm
EDUCATION AND TRAINING:
• High School graduate (or equivalent)
• Receptionist training or experience sufficient to insure smooth operation of the receptionist area
• Computer training or experience sufficient to allow efficient operation of company computers
• Good verbal, spelling, grammar and communication skills in English are required
• Bilingual skills (Spanish) are preferred

RECEPTIONIST/SWITCHBOARD DUTIES
1. Greet and assist the public in a friendly and helpful manner
2. Make and receive phone calls efficiently
3. Take and dispatch messages promptly and accurately
4. Receive small deliveries and notify recipient and route large deliveries to back of building
5. Sign all visitors/vendors in and out of office
6. Maintain supplies in first aid kit and notify Purchasing when low

APPLICATION PROCESS/APPLICANT DATA BASE DUTIES
1. Assist candidates with online application process
2. Coordinate and maintain candidate application process
3. Distribute and collect job applications and ensure all information is completed
4. Maintain the job application filing system
5. Answer applicant questions and review job listings information
6. Address and mail No Letters to applicants
7. Receive all applicant faxes/emails/applications, add and complete coversheet and enter into database
8. Notify HR recruiter when applicants are ready for interview or if calling in to cancel
9. Distribute received application/resume to proper recruiter

1. Operate copier, fax, and other office equipment efficiently
2. Sort and collate documents as assigned to support the various Business Office departments
3. Type labels, forms, letters, memos, job descriptions, etc., using the computer efficiently
4. Prepare new hire paperwork
5. Select and distribute anniversary and birthday cards
6. File benefit paperwork for employees
7. Alphabetize and file employee information as needed
8. Prepare personnel and credentialing files for new hires
9. Prepare & file personnel records of terminated employees
